Power BI service is a cloud-based corporate analytics and data visualization solution that allows anybody to visualize and analyze data more quickly, efficiently, and effectively. It provides users with access to a wide range of data via simple dashboards, interactive reports, and appealing visualizations that bring data to life.

The Power BI service website is developed on the Azure cloud platform and follows HTML 5 guidelines. It features strong HTML5 support through a feature called PowerView.

Power BI Service Data Sets include:

  • Excel, CSV, or Power BI Desktop files should be uploaded.
  • Excel, CSV, or Power BI Desktop files that are linked and stored on OneDrive for Business or OneDrive Personal.
  • Data can be found in your organization’s content packs. Content packs are “pre-packaged” dashboards, datasets, and reports that are unique to your company and are exclusively available in Power BI Pro.
  • Content packs include data from various internet services, such as Bing, GitHub, MailChimp, and SalesForce.
  • Data from SQL Azure Databases and Data Warehouses are also available, but only for Power BI Pro members.

What are the primary characteristics of Power BI Service?

Workspace

In Power BI, workspaces are containers for dashboards, reports, workbooks, and datasets. Workspaces are classified into two types: my workspace and app workspaces.

Microsoft Power BI: Architecture and Features of this Powerful Data Visualization Tool

My Workspace: The personal workspace for any Power BI customer to work with their content is called My Workspace. My workspace is only accessible to you. If you want to share any of your content, you have two options: establish an app workspace in which you bundle content into an app and make it available to others in your company, or develop an app workspace in which you give colleagues access to share and collaborate.

App Workspace: App workspaces are used by coworkers to collaborate and share content. They are also where you create, distribute, and manage apps for your company. Consider them to be staging regions and containers for the stuff that will comprise a Power BI app. Collaborate on dashboards, reports, spreadsheets, and datasets with colleagues in your app workspaces. Power BI Pro licenses are required for all app workspace members, but not for app consumers.

Datasets

Datasets are groups of data that will be used in Power BI. We can import data or connect to cloud data sets using HTTP. The workspace is linked to datasets. We work on data in the workplace. A dataset can be included in several workspaces.

Notes:

  • A single data set that can be reused in one or more workspaces. It also can be utilized in a variety of reports.
  • Visualizations from that one dataset can appear on a variety of dashboards. We have the ability to rename, renew, and delete datasets.
Reports

A Power BI report is a collection of visualizations on one or more pages (charts and graphs like line charts, pie charts, treemaps, and many many more). Visualizations are also referred to as visuals. A single dataset is used to generate all of the graphics in a report. Reports can be built from start in Power BI, imported from dashboards shared by peers, or made when you link to datasets in Excel, Power BI Desktop, databases, SaaS applications, and apps.

There are two ways to access reports:

  • Editing
  • Reading

Notes:

  • Only the creator of the report, co-owners, and others are granted permission to have access to all of the Editing View’s exploring, designing, developing, and sharing features. And those with whom they share the report can use Reading View to examine and interact with it.
  • A single report is stored within a single workspace, which can be linked to many dashboards within that workspace (tiles pinned from that one report can appear on multiple dashboards).
  • Data from a single dataset can be used to generate a single report (the slight exception to this is that Power BI Desktop can combine more than 1 dataset into a single report and that report can be imported into Power BI)
Dashboard

A dashboard is anything you produce in the Power BI service or something a colleague creates and shares with you in the Power BI service.

  • The dashboard is linked to a single workspace.
  • The Dashboard may show visualizations from a variety of datasets.
  • The Dashboard can display visualizations from a variety of reports.
  • Dashboard displays can be pinned from other tools. (e.g., Excel)

Notes: Workbooks are specialized datasets.

Power BI demonstration

To better understand what Power BI is and how it may help, see a case study of how Meijer, one of the largest supermarket chains in the United States, used Power BI to solve business problems.

Meijer had become overly reliant on its IT division to derive insights from the data it generates. Waiting for IT to build each report was time-consuming and inefficient. Meijer was unable to efficiently do ad hoc and real-time analyses. So Meijer linked Power BI to a SQL Server Analysis Services cube on-premises. They were able to refresh 20 billion rows of data in near real-time as a result of this. Teams can now draw in data faster and execute real-time analysis to derive insights from data using Power BI.

Meijer’s baking section used Power BI to compare sales to regional performance. They examined where Meijer lagged behind regional trends, zeroed down on the issue, and devised a solution. They can use Power BI to drill down on hourly sales and send a sales flash to 800 Meijer business leaders. Power BI enables them to unify data sources and empower store directors and team leaders to produce and track data in order to improve.

Let’s now move into Power BI Desktop and get some hands-on practice. We will design a report that will illustrate multiple charts and graphs to assess sales by your nations, items, and segments.

By combining the Power BI tool with your business solutions, you can propel your company to new heights. The mobility of data and availability to the dashboard by your entire team is a game changer for your company’s efficiency and competitiveness.
